Job Description

Job requirements : Fluency in English both spoken & written is essential French skills would be a plus Handle sensitive and confidential information with the utmost discretion Proven office management or assistant experience Willingness to learn and work in a fast-paced environment Self- starter and proactive personality Attention to detail and problem-solving skills Ability to follow instructions and adhere to short deadlines Good knowledge of MS Word, Excel and Power-Point Your daily tasks include : Administrative Support: Acts as a point of contact between the Manager and assigned internal clients, other colleagues and suppliers/public institutions (as applicable) Manages the correspondence (including writing some messages) for the Manager and the internal clients to whom it is assigned Provides administrative support regarding the drafting of official documents, trips, presentations, campaigns, statements, time attendance, etc. for the Manager and the internal customers to whom it is assigned Keeps track and evidence of all documentation, being responsible of organizing and archiving it accordingly Organizes events or other types of activities, proposes and manages the budget for them Handle logistics for business trips, including booking flights, coordinating institution visits, and arranging car rentals and hotel reservations. Constantly communicates progress in the context of the project to the Manager and demonstrates discernment by identifying when he needs assistance. Personal Life Assistance: Provide personal assistance to the Manager including managing personal schedules and appointments Handle personal errands such as grocery shopping, dry cleaning, paying bills and other tasks as needed Other miscellaneous tasks: responsible for various other tasks, such as arranging home repairs, managing social media accounts, etc.
