Who This Role Is For This role is for a builder and operator, not a purely strategic manager. You should be comfortable being close to daily operations while also thinking ahead, improving systems, and scaling the hub over time. If you enjoy creating order from complexity and taking full ownership of operations, this role offers the opportunity to shape a key logistics function from day one Requirements Fluent/Native Polish + English (spoken and written) Eligible to work in Poland Proven experience in people hiring, coordination, and management Strong ability to build processes from scratch and improve existing ones Excellent critical thinking skills; a calm, balanced, and creative approach to problem-solving; flexibility; and the ability to adapt to rapidly changing dynamics Hands-on experience with any ERP/CRM system (inventory, order management, operations, etc.) Familiarity with any analytics and reporting tools (Metabase, Power BI, or similar) High level of ownership, independence, and operational/entrepreneurial mindset Responsibilities Hub Setup & Operations Lead the setup of the Warsaw logistics hub, including processes, workflows, and operational standards; actively participate in the launch itself Design, implement, and continuously improve end-to-end operational processes (receiving, sorting, packing, labeling, shipping, inventory management), including planning for and organizing a new or expanded workspace/hub as volumes grow in the future Ensure smooth coordination with other company hubs and operations teams Oversee daily hub operations to ensure efficiency, accuracy, and on-time deliveries Oversee the calculation of hub expenses, profitability, and cost optimization, and define target cost structures and team efficiency metrics to support future volume expansion Team Leadership & Hiring Hire, onboard, and manage a small local team (initially 1–3 people) Provide clear task allocation, performance feedback, motivation, and hands-on support Set and optimize work schedules for the team Foster a culture of accountability, ownership, mentorship, and continuous improvement Inventory & Shipping Management Manage and optimize permanent stock held at the Warsaw hub Oversee sorting, packing, and shipping of goods across Europe and globally Oversee the procurement and delivery schedule for packaging materials Ensure compliance with internal standards and external shipping requirements Courier & Partner Management Coordinate daily operations with courier and delivery partners Negotiate and maintain favorable commercial and operational terms with Polish logistics providers and other partners Resolve delivery issues, delays, or exceptions efficiently Systems, Data & Reporting Work with the internal ERP/CRM system for inventory, orders, and operational tracking Use analytical tools such as Metabase, Power BI, or similar to monitor performance Track and analyze key operational metrics (costs, delivery times, error rates, capacity, etc.) Provide regular operational updates and insights to internal stakeholders Compliance & Local Coordination Interact with local authorities and service providers as required Ensure hub operations comply with local regulations and company policies Would be a plus Experience in logistics, supply chain, or operations management Understanding of warehouse or fulfillment operations Experience negotiating with suppliers or logistics partners Proven experience in cost reduction and tax optimization Knowledge of Ukrainian or Romanian.
